ENVIRONMENT:
A dynamic Property Management & Development company in Joburg seeks an experienced Residential Portfolio Manager who will be responsible for the overall letting occupancy of the Residential Portfolio. You will ensure all pre-billing, rental statement, letters of demand and letters of cancellations are sent out accurately and timeously while reporting on rental variances, occupancies, arrears, utilities, and legal updates.
DUTIES:
Reporting –
- Ensure accurate weekly reports are done (Collections and occupancies).
- Responsible for monthly management meetings and packs.
- Report on rental variances, occupancies, arrears, utilities, and legal updates.
- Assist Exco on quarterly board packs.
- Responsible for month end reports.
Collections –
- Responsible for ensuring all pre-billing, rental statement, letters of demand and letters of cancellations are sent out accurately and timeously.
- Manage the silos credit control collection measures monthly.
- Manage the tenant cancellation process monthly.
- Manage the tenant deposit refunds.
- Manage and monitor legal cases / residential evictions with exco.
- Oversee the cash book process and cash deposit charges.
Leasing –
- Responsible for the overall letting occupancy of the residential portfolio.
- Ensure tenant retention / renewals.
- In charge of all marketing content such as ensuring properties have sufficient to let signage.
- Work with the Marketing Department on campaigns, lead tracking and ensuring viewing on site is done and managed.
- Ensure all leasing applications are being responded to.
- Responsible for all lease agreements within the silo ensuring they are signed correctly and loaded internally.
- Ensure the moving in and out inspections are conducted, and files are recorded.
Facilities –
- Work with the centralized Facility Department.
- Ensure budgets are adhered to.
- Preventative maintenance is performed.
- Monthly stock is managed and ordered.
- Building staff are always sufficiently equipped.
- Cost saving measures are in place.
- Building upkeep and presentability always.
Utilities –
- Work with the Utility Department ensuring the building recoveries are high.
- Ensure measures are in place to enhance recoveries.
- Work with the Council.
Management –
- HR management of all staff within the residential silo e.g. working with HR on staff leave, performance management, discipline and motivation.
- Manage and lead a team of credit control, leasing and building staff.
- Champion a culture of accountability and of tenant centric.
